Terms of Service
What you buy, what we provide, and what each of us is responsible for.
Last updated: 8 October 2026
Draft for legal review. This text describes how MomentFlow works today and will be finalised, with our full company details, before commercial launch.
1.Who we are
MomentFlow is operated by [LEGAL COMPANY NAME], trading as [TRADING NAME], [REGISTERED ADDRESS]. VAT number [VAT NUMBER], registration number [GEMI / COMPANY REGISTRATION NUMBER]. You can reach us at [CONTACT EMAIL].
2.What you are buying
One MomentFlow for one event: a permanent QR code, guest photo and video uploads, a private Moment Wall and Live Wall, your own dashboard, and the download of everything in original quality.
It is a one-time purchase for one event. It is not a subscription and nothing renews.
3.Packages and price
Digital, Moment 300 and Moment 500 contain the same software. Moment 300 and Moment 500 additionally include up to 300 or 500 printed QR cards, covered by the Printing & Delivery Terms.
Prices are shown in euro and include VAT. The price you pay is the one shown at checkout at the moment of purchase.
4.Your account
Your purchase creates an account for the email address you give at checkout. You sign in with a link sent to that address, or with a password you set later. Keep access to that mailbox and keep your password to yourself.
You are responsible for what is done through your account, including how you configure your event.
5.Availability period
Your MomentFlow is fully available until 30 days after your event date. The exact closing date is shown in your dashboard.
After that date guests can no longer upload or view. You keep download access for a further 7 days, and then the photos, videos and archives are permanently deleted. The details are in the Data Retention explanation.
6.Your content and your guests' content
You and your guests keep all rights in what you upload. MomentFlow does not become the owner of any photo or video.
You give us only the permission we need to run the service for you: to store, process, resize, display and deliver the content to you and to the people you share your event with. That permission ends when the content is deleted.
We do not use your event's photos or videos in advertising, on our website or on social media. That would require a separate, explicit permission from you, which you are never asked for by default.
7.Your responsibilities as host
You decide who receives your QR code. Anyone who has it can open your event page for as long as it is available.
You are responsible for telling your guests about the event page, for the settings you choose (who can see the wall, moderation), and for removing content that should not be there. The Acceptable Use Policy applies to you and to your guests.
8.Service quality
We work to keep MomentFlow available and your content safe, and we store the original files as uploaded. We cannot promise that the service will never be interrupted.
Please download your memories in good time: MomentFlow is a place to collect and download them, not a permanent archive.
9.Liability
Nothing in these terms limits rights you have by law as a consumer. Subject to that, our liability is limited as far as the law allows. [TO BE COMPLETED ON LEGAL REVIEW]
10.Cancellation and refunds
Your rights to cancel or withdraw, and how refunds are handled, are set out in the Cancellation, Refund & Withdrawal Policy.
11.Changes and governing law
If we change these terms in a way that matters, we will tell you before the change applies to you.
These terms are governed by the law of [LEGAL JURISDICTION]. If you are a consumer, you also keep the protection of the mandatory rules of the country where you live.
